If this table has Custom Order Number on, the keypad may open by itself 3. Otherwise tap Function โ†’ Custom Order No. 4. Type exactly 3 digits on the keypad. A table Call Number Prefix (for example A) appears in front as A- 5. Tap Confirm 6. If you enter fewer or more than 3 digits, you see Order number must be 3 digits ๐Ÿ’ก Tip: Only the 3 digits are typed here. The prefix is set on the table, not in this keypad. Receive Incoming QR and Kiosk Orders

๐Ÿ”” Receive Incoming QR and Kiosk Orders Hear new QR and kiosk tickets on the main POS and know whether to open the table, skip payment, or collect at the counter. ๐Ÿ“ Steps 1. Work on the main device. To hear and see the alert, turn on SETTINGS โ†’ General Settings โ†’ Online Order โ†’ QR Order Voice Announcement. 2. When a guest submits, the main device shows a toast and can speak New order, Table {label} or New order, Pickup number {call_num}. 3. Order & Pay Later on a table: the table card updates. Open the table, check the lines, then Send or Pay as usual. 4. Already paid (PayNow): the toast uses the pickup number. Do not collect again โ€” a receipt can print on the POS. 5. Pay At Counter (unpaid pickup): the toast uses the pickup number. The ticket is not on a real table. Collect it from MANAGEMENT โ†’ Invoices. 6. If nothing is announced: confirm this is the main device, QR Order Voice Announcement is on, scan-to-order is set up, and the store is not closed with Disable Order Now When Closed. ๐Ÿ’ก Tip: Toast and voice share the same switch and run only on the main device. View the Order Timeline

๐Ÿ•’ View the Order Timeline Trace who did what and when on an order โ€” useful when checking a disputed bill or a missing item. ๐Ÿ“ Steps 1. In POS, tap a table that has an order to open its order screen 2. Tap Function โ†’ Order Timeline 3. The Order Timeline dialog opens, showing the order date, Table, Server, Ref, and Status at the top 4. Below the header, each event shows its time, a short title, the employee (when known), the device (when known), and an optional detail line, listed in the order returned by the server ๐Ÿ’ก Tip: The Order Timeline button stays greyed out until the order has been sent to the server โ€” a brand-new, unsent order has no timeline yet. Once sent, it works for open, paid, and voided orders, as long as you stay on that table's order screen. Anyone who can open the table can view it; there is no separate permission. Data loads live, so the device must be online โ€” if there is nothing to show you see No timeline data found for this order, and if loading fails you see Failed to load timeline. How Guests Order at the Self-Order Kiosk

๐Ÿ–ฅ๏ธ How Guests Order at the Self-Order Kiosk Know what a guest sees at your self-order kiosk, and which settings control payment, pickup numbers and the home screen. ๐Ÿ“ The guest's journey 1. The guest starts on the kiosk home screen, which shows your Home Page Images carousel; unless Takeaway Only is on, they first choose dine-in or takeaway. 2. They browse the menu under your Menu Banner Image, add items, and check out. 3. At payment they see whichever methods you have not disabled: Disable Paynow Payment, Disable Card Payment, Disable WeChat Payment, and Disable Alipay Payment each remove one option. If Enable Pay At Counter is on, they can pick Pay At Counter and get a ticket without paying at the kiosk. 4. For a takeout order, if you set a Takeout Call Number Prefix, the kiosk asks the guest for a 2-digit number before payment; the pickup number becomes prefix-digits. 5. Unless Disable Counter Receipt Printer is on, the order also prints from your counter receipt printer. ๐Ÿ’ก Tip: A Pay At Counter kiosk order appears in MANAGEMENT โ†’ Invoices with its pickup number in the Receipt No. column โ€” see Pay at Counter for Online Orders to collect it. Configure all of this under SETTINGS โ†’ General Settings โ†’ Kiosk.

๐Ÿ“‹ Select Several Order Lines and Act on Them at Once Tick the checkbox on two or more order lines to open Bulk Operation and delete, transfer, note or take away them all at once. ๐Ÿ“ Steps 1. On the order panel, tick the checkbox on a line, then tick a second line's checkbox. POS switches to the Bulk Operation panel automatically. 2. Under Functions, tap Delete All to remove every selected line, or Unselect All to leave the panel without changing anything. 3. Tap Transfer to move the selected lines to another table, or Note to write one remark that overwrites the note on every selected line. 4. Tap the takeaway icon to mark all selected lines Takeaway. If any of them is already takeaway, the same button switches to Cancel Takeaway for the whole selection instead. ๐Ÿ’ก Tip: Deleting every line on a sent order asks "All items have been deleted. Do you want to void this order?" first; on an order that hasn't been sent yet, the lines are simply removed with no prompt. This is a different feature from the product list's Bulk button (MANAGEMENT โ†’ Product โ†’ Item), which edits product fields, not order lines.

๐Ÿฑ Add an Item With Modifiers, Combo Choices or an Open Price Pick combo items, choose modifiers, add a one-off custom modifier, or set an open price โ€” all from the order-line panels. ๐Ÿ“ Pick combo choices 1. Tap a Combo-type item on the menu. POS opens the Combo Selection panel on the first group. 2. Each group tab shows a (min/selected/max) count with a checkmark once it's full. 3. Tap items to add them. A full group auto-advances to the next one, unless the item you just added still has its own required modifiers. 4. Trying to Send, Pay or Check with a group left incomplete shows "Combo selection is incomplete, please complete your selection" and reopens that line. ๐Ÿ“ Choose modifiers 1. Select a line to open its modifier groups. A group configured for exactly one pick behaves as single-select. 2. Tap a modifier to add it, then use the stepper or the price pill next to it (needs the change-price permission) to adjust quantity or price. 3. With inventory control on, running out of a modifier's stock caps the quantity and shows "Quantity limited by selected modifier's stock". 4. Turn on Modifier Single Select (SETTINGS โ†’ POS โ†’ General Settings โ†’ Product) to hide quantity steppers everywhere and force one pick per modifier. ๐Ÿ“ Custom modifier and open price 1. If the group has Allow Custom Modifier on, tap the dashed + tile, enter a Name (Optional) and a Price, then Confirm โ€” disabled until the price is above zero. See Let Cashiers Add a Custom Modifier for the setup toggle. 2. Products marked Open Price Editor open the same price keypad automatically the moment they're added; otherwise tap the price pill to open it yourself. ๐Ÿ’ก Tip: A custom modifier only applies to this order line โ€” it is not saved to the product's modifier group for next time.

The guest scans the QR code you printed for that table (staff generate it from Function โ†’ Order QR-code). 2. If Allow Menu Selection is on (SETTINGS โ†’ General Settings โ†’ Online Order โ†’ Dynamic Order QR), the guest picks a menu; otherwise they see the menu you chose when printing the QR. 3. If Allow Order Flow Selection is on, the guest picks Order & Pay Later or Pay to Order; otherwise everyone follows your Default Order Flow. 4. At checkout the guest can tap Pay at Counter unless you turned on Disable Pay at Counter, or Verify at Counter unless you turned on Disable Verify at Counter. 5. A Pay at Counter order lands in MANAGEMENT โ†’ Invoices with its pickup number shown in the Receipt No. column โ€” see Pay at Counter for Online Orders to collect it. ๐Ÿ’ก Tip: The QR link expires after Default Expiry Time (Minutes) under Dynamic Order QR; a menu's own Online Order QR Code Expiry (minutes) (MANAGEMENT โ†’ Product โ†’ Menu) overrides it. Maximum Dining Time caps how long the session stays open, and Disable Order Now When Closed hides ordering once you are outside your opening hours.

Open Note from a line's Functions, from Function โ†’ Note for the whole order, or from Bulk Operation โ†’ Note for several lines at once. 2. Tap a chip below the text box to insert it โ€” tap more than one to append them with a space. Anything you type instead is saved as a new chip for next time (split on commas or semicolons). 3. Tap the trash icon in the header to clear the note in one tap. ๐Ÿ“ Organize your chips 1. Press and hold the chip area for about three seconds to enter edit mode. 2. Drag a chip to reorder it, tap it to rename it, or tap its red โˆ’ to delete it. 3. Tap + to add a tag (up to 8 shown); tap a tag to filter the chips below it. Tap outside the panel to leave edit mode. ๐Ÿ“ Choose the note target on a combo 1. Select a combo line whose sub-items are already chosen, then tap Note. 2. Pick All Items to note the whole combo, or one of the Single Item buttons to note just that combo item. ๐Ÿ’ก Tip: Order-line notes, whole-order notes and void reasons each keep their own separate, reusable chip list โ€” only order-line and whole-order notes support tags.

โŒ Void an Invoice and Give a Reason Void a paid or open invoice from MANAGEMENT โ†’ Invoices and record why, with reusable quick reasons and automatic payment refunds. ๐Ÿ“ Steps 1. Open MANAGEMENT โ†’ Invoices, tap More on the invoice, then tap Void to open the Reason For Voiding dialog. 2. Type a reason in the text box. A reason is required โ€” voiding without one shows "Please enter a reason for voiding". 3. Or tap one of the quick-reason buttons under the text box to insert a saved reason. Reasons you type are saved so they show up as buttons next time. 4. If the invoice has a FIUU, CRES, or YEAP payment, a confirmation appears: "This invoice contains a {name} payment. The payment will be voided. Do you want to proceed?" Confirm to refund it automatically, or cancel to skip the refund and continue voiding anyway. 5. Tap the โœ“ button in the top right of the dialog to confirm the void. ๐Ÿ’ก Tip: If the automatic refund fails, XPOS shows "Payment refund failed. Please process the refund manually through the payment provider." The POS Function grid also has a Void button, but it only shows a plain confirm with no reason field โ€” use MANAGEMENT โ†’ Invoices when a reason must be recorded. Voiding is blocked for invoices from a closed shift while SETTINGS โ†’ General Settings โ†’ Order โ†’ Lock Invoices After Shift Close is on.

Find and Work With Invoices

๐Ÿงพ Find and Work With Invoices Search, filter and page through every invoice, then use More to preview, reprint, or attach a customer to any invoice. ๐Ÿ“ Steps 1. Open MANAGEMENT โ†’ Invoices. 2. Type in the search box to find an invoice by the last digits of the receipt number, the amount, the customer name, or the phone number (name and phone match fuzzy). 3. Use the All Status dropdown to filter by Open, On Hold, Paying, Paid, Void, or Pay At Counter. 4. Use the date picker to filter by paid date. 5. Use the up and down arrow buttons at the bottom right to move between pages (8 invoices per page). 6. Tap More on a row to open that invoice's Functions dialog. ๐Ÿ“ Row actions 1. Tap View Receipt to preview the receipt on screen. 2. Tap Reprint to reprint the receipt. 3. Tap Last Kitchen Slip to reprint the last kitchen slip for that invoice. 4. Tap Print Complete Order List to print the full order docket. 5. Tap Add Customer to attach a customer to an invoice that has none yet; the button is disabled once a customer is already attached. ๐Ÿ’ก Tip: The invoice list refreshes automatically every few seconds.
